How to integrate Wiza with HubSpot

Sync all of your lead emails to HubSpot

This article will show you everything you need to know to integrate Wiza with HubSpot.

Connecting your HubSpot Account

Field Mapping

Click Setup to customize how your Wiza data is imported into your HubSpot account.

  • Contacts saved on Wiza sync to HubSpot as Contacts with Company info.

  • To change an existing field mapping, select the field you’d like to change and choose an alternative.

  • To map a new field, select Add new mapping, and select the Wiza and HubSpot fields to map.

If there is a Wiza field that you would like to import but cannot find an applicable HubSpot field, please consult your HubSpot admin about creating a custom field.

Custom Field Mapping

You can create custom Wiza fields. Let's say that you have a HubSpot Field called “Source” that you would like to populate with the field “from Wiza” for all of the contacts you import.

To do this:

  1. At the bottom, click Map new field

  2. Select Custom from the Wiza Field dropdown

  3. Select the HubSpot field you would like to map to, in this case, 'Original Source.'

  4. On the right, select 'Set' and enter from Wiza

  5. Select Save changes

Now, every contact that you import from Wiza will include the value 'from Wiza' within your HubSpot Lead Source field. This makes filtering your existing HubSpot database for contacts created by Wiza very easy.


Syncing your data

To sync your list:

  1. To sync contacts from a list: Go to Lists and select an option from the dropdown menu at the bottom of a list.

    'Valid' includes emails that have been verified for deliverability. These emails are 97% deliverable.

    'Risky' = emails that Wiza couldn’t verify for deliverability. These are always free and do not use email credits.

  2. If you would like to sync only a select few people, click on your list to open each contact's browser. Then, select the Sync option next to each contact.

Settings

Once your Wiza account is connected to HubSpot, you can configure how data is created, updated, and synced between both platforms. The Settings tab allows you to control system-wide rules for contact and company mappings.

Apply Settings to All Users

You can choose to apply your HubSpot settings across all users in your account.

  • When enabled, every user in your Wiza account will automatically follow the same HubSpot sync settings and mappings.

  • This ensures consistency in how contacts and companies are managed.

Primary Object Type

Primary Object Type

  • Wiza creates contacts using the primary object type defined here.

  • This determines how HubSpot stores new contacts from Wiza.

Updating Existing Contacts

  • Toggle Update existing contacts regardless of ownership if you want Wiza to update records owned by other HubSpot users.

  • HubSpot rules and permissions still apply, so updates will only succeed if allowed by your CRM configuration.

Company Configuration

You can control how Wiza handles company records in HubSpot:

Companies

  • Create new companies – Automatically create new company records when exporting new leads.

  • Update existing companies – Keep company records current by syncing updates from Wiza.

    Note: Updates may be limited by your HubSpot rules and permissions.

Contact Configuration

Determine how contacts are associated with companies:

  • Associate contacts with companies – Links new or updated contacts to their companies.

  • Override existing company – If enabled, Wiza will replace a contact’s current company with updated company data.

2-Way Sync

  • Optional: Enable 2-way sync to enrich new HubSpot leads with additional datapoints from Wiza.

  • This ensures that fresh information from Wiza is automatically appended to leads already in your CRM.


How do I filter for leads that I've synced with Wiza?

To smoothly navigate through your contacts, click "View on HubSpot," as depicted in the screenshot.

For a comprehensive overview of all your contacts within HubSpot, Wiza updates the following fields:

- Latest Source: Offline Sources

- Latest Source Drill-Down 1: INTEGRATION

- Latest Source Drill-Down 2: Wiza

To streamline your search and focus solely on contacts created or updated by Wiza, employ the following filters based on the specified fields. It's crucial to utilize the appropriate internal value for the Latest Source Drill-Down 2 field, as entering 'Wiza' directly won't yield the desired results. Please refer to the instructions below. Keep in mind that your internal values may differ.


Troubleshooting

  1. A contact/company is created, but a property field is still blank

    • Depending on the field, there may not be a value available. To find out, download your list results to see if there is a property value for that contact. To see how to download your list, see this article.

    • Make sure you are mapping to that HubSpot field in your Wiza field mapping settings, see above.

    • Make sure you have Property Access for that HubSpot field allows you to view and edit.

      • In Hubspot, click Settings > Properties > Property Access

    • Make sure the value is accepted by HubSpot.

      • There are many types of property fields in HubSpot. These include text, numerical values, dropdown select, dates, currencies, etc. For the full list, see this article.

      • Make sure that the value provided by Wiza is accepted in that HubSpot field. For example, if the HubSpot property is a dropdown select, the value provided by Wiza must be included as an option within that HubSpot property. To see how to edit your HubSpot properties, see this article.

  2. A contact already exists in HubSpot, but the properties are not being updated

    • If a contact with the same email already exists, Wiza will add/update the value of the mapped fields under the following conditions:

      In HubSpot:

    • If the property field has no value, Wiza will update the property field.

    • If the property field already has a value, Wiza will only overwrite the existing value if the Overwrite setting is enabled, see above. If not, the existing value in HubSpot will remain

  3. A contact and company are created/updated but they are not being associated with each other

    • You must enable this automation within your HubSpot settings to allow contacts and companies to be automatically associated with one another based on the contact's email address and a company's domain

    • In Hubspot, click Settings > Objects > Companies > Create and associate companies with contacts. For more info, please see this article.
