What Wiza + HubSpot Does
HubSpot is a native CRM integration in Wiza's Integrations area. It lets users push contacts from Wiza into HubSpot, map fields, control how updates are handled, and view synced records directly in HubSpot — all from within the Wiza UI.
Syncing in Wiza is contact-first: users add or sync as a Contact, and Wiza can also manage company-level mapping and association behavior during sync. A View in HubSpot deep link is available after every sync so users can jump directly to the created or updated record.
If the integration breaks, Wiza surfaces a Broken state with a dedicated Fix now path. Even when admin-only integration management is enabled, broken integrations can still be repaired by any user.
How to Set It Up
Go to Integrate and click Connect on HubSpot
Complete the HubSpot login and authorization flow
Click Configure on the HubSpot card to open field mapping and settings
Configure your sync preferences (see Key Settings below)
Save settings and start syncing from lists or individual contacts
A View setup guide link is also available directly on the HubSpot integration card in the UI.
Key Settings Users Should Know
Update existing contacts regardless of ownership — lets updates apply even if records are owned by other HubSpot users (subject to HubSpot permissions and rules)
Company configuration:
Create new companies
Update existing companies
Contact-to-company behavior:
Associate contacts with companies
Optionally override existing company association
Field mapping — map Wiza fields to HubSpot fields, set overwrite behavior per field, set default values, and reset mappings to Wiza defaults at any time
Apply settings to all users — admins and managers can enforce one mapping and settings standard across the whole account
2-way sync (when available) — enables enriching new CRM leads with Wiza data; the toggle only appears when this feature is enabled for the account
Day-to-Day Sync Experience
From list, Prospect, and contact workflows, users can:
Sync to HubSpot
View in HubSpot (opens the exact CRM record)
Resync a contact
Link to an existing HubSpot record
The sync task panel shows:
In-progress status
Finished summary in plain language ("X created, Y updated, Z errors")
Created / updated / skipped / duplicate / error counts
HubSpot-specific errors labeled as "HubSpot error: …"
Note on company association: HubSpot company associations can sometimes take a few seconds to appear after sync. Wiza now includes a short follow-up check so users see updated linked-company info more reliably.
LinkedIn extension sync: The HubSpot transfer option in the Wiza LinkedIn extension only appears when the plugin has successfully loaded on the LinkedIn profile page and detects a valid HubSpot connection. If it disappears, see the troubleshooting section below.
Recent User-Visible Updates
Better sync reporting UI — clearer created/updated/error summaries with per-network details
More explicit HubSpot error messages — errors are now labeled "HubSpot error: …" for faster diagnosis
Better handling of delayed HubSpot company association — Wiza waits briefly after sync so company links appear more reliably
"Fix broken integration" flow — available even when admin-only integration management is enabled
Improved extension-side CRM value formatting — option labels, dates, and booleans now display more cleanly in HubSpot records synced from the extension
Support Troubleshooting Checklist
1) Confirm integration health
Go to App > Integrations and check the HubSpot card status
If showing as Broken, click Fix now and reconnect
2) Confirm user access model
If the account is in restricted mode, only admins can connect, configure, or disconnect integrations
Exception: broken integration repair via Fix now is available to all users even in restricted mode
3) Confirm HubSpot is set as Primary (if user expects default sync to HubSpot)
In Integrations, ensure the HubSpot Primary toggle is enabled
4) Check mapping and settings save state
Open HubSpot Configure and verify recent changes were saved — users are warned on unsaved changes
If mappings are messy or uncertain, use Reset all mappings, then re-save and retest with 1 contact
5) Check field mapping basics
Ensure important HubSpot destination fields are mapped
Confirm overwrite and default behavior on key fields
Re-test with 1 contact after any mapping changes
6) Check company behavior settings
If company records are missing or not updated, verify the Company Create and Update checkboxes
If contact-company links are wrong or missing, verify "Associate contacts with companies" is enabled and check the override behavior setting
7) Check for enforced admin template
If users cannot change settings or mappings, they may be locked by an account-level admin template
The UI will indicate who is enforcing the settings
8) Check 2-way sync expectations
2-way sync is only available when the feature is enabled for the account
If the toggle is disabled or grayed out, the feature may not be available for that account
9) Run a single-contact validation
Sync one known contact and watch the result toast
Open sync task details to inspect create/update/skip/error counts
Use "View in HubSpot" to verify the final record
10) If a sync error appears
Capture the exact message from the toast or sync panel
HubSpot errors are labeled "HubSpot error: …"
Common causes: missing HubSpot permissions, field mismatch or invalid value for a mapped field, contact ownership/CRM rule conflicts, or expired HubSpot authorization
11) For the LinkedIn extension "HubSpot option not showing"
This is most commonly a LinkedIn UI compatibility issue — LinkedIn's layout can change by user/session
Ask the user to: fully refresh LinkedIn, open a standard /in/… profile page (not a mini overlay), confirm the extension is updated, and disconnect/reconnect HubSpot in Wiza Integrations
If still failing, collect: affected LinkedIn URL, exact time, and a short screen recording for engineering
12) For monitor/list-import use cases
HubSpot must be connected and healthy (not needing re-auth) to appear in CRM list selectors
Reconnect or fix the integration first if HubSpot lists are not selectable
13) Escalate with evidence if still failing — include:
Workspace/account and user role
Whether integrations are admin-restricted
HubSpot card status (valid/broken)
Whether Primary integration is set
Screenshot or text of exact sync error
Whether admin template enforcement is active
Example contact/list and timestamp
FAQ
Q: What does Wiza's HubSpot integration do?
A: It lets users push contacts from Wiza into HubSpot, map fields, control how updates are handled, and view synced records directly in HubSpot.
Q: Can users choose whether to update existing contacts?
A: Yes — there is a setting to update existing contacts, including those owned by other users (subject to HubSpot permissions and rules).
Q: Can Wiza also handle Company data in HubSpot?
A: Yes — users can control whether Wiza creates or updates Company records and whether contacts are associated to companies.
Q: Why can't I edit integration settings?
A: Usually one of two reasons: account integration management is restricted to admins, or an admin template is enforcing settings for everyone on the account.
Q: What does "Broken" mean on the HubSpot integration card?
A: The connection is no longer valid and needs to be repaired — usually auth or permission-related. Click Fix now to reconnect.
Q: I'm not an admin and can't connect HubSpot. Is that expected?
A: Yes, if integration management is restricted to admins on your account. However, you can still fix a broken integration using the Fix now flow.
Q: How do I verify if a contact actually synced?
A: Use the sync status UI after syncing, then click View in HubSpot to open the exact CRM record.
Q: Does Wiza support 2-way sync with HubSpot?
A: Yes, where enabled. There is an "Enable 2-way sync" toggle in HubSpot configuration. If it's not visible, it may not be enabled for that account.
Q: Why is HubSpot not available in CRM list import or Monitor flows?
A: HubSpot must be connected, valid, and not requiring re-authorization to appear in those selectors. Fix the connection first.
Q: I synced but the company association looked delayed. Is that normal?
A: Sometimes yes — HubSpot company associations can take a few seconds to appear. Wiza includes a brief follow-up check to improve reliability, but a short delay can still occur.
💡 Best positioning for customers: "The Wiza + HubSpot integration lets you push enriched contacts directly into HubSpot, control exactly how records are created or updated, and jump to any synced record in HubSpot with one click — all without leaving Wiza."
